§ 1Who We Are

This Privacy Policy describes how Duplex Dynasty LLC, a Texas limited liability company doing business as Dewberry Hideout ("Dewberry Hideout," "we," "us," or "our"), handles personal information collected through dewberryhideout.com and in the course of responding to booking and event inquiries.

Duplex Dynasty LLC is the entity responsible for the personal information described in this policy. "Dewberry Hideout" is a trade name, not a separate legal entity.

This policy applies to our website and inquiry forms. It does not apply to third-party websites we link to, which have their own privacy practices.

§ 2What Information We Collect

Information you give us directly

When you submit a booking inquiry, join our waitlist, or purchase a Founding Membership, we collect:

• Contact details — your name, email address, and phone number (phone is optional)
• Stay details — your requested check-in and check-out dates, preferred cabin, and number of guests
• Occasion and message — the occasion for your stay and any free-text message you choose to write
• Quote details — the nightly rates, cleaning fee, Texas Hotel Occupancy Tax, estimated total, and deposit shown to you at the time you submitted, plus whether you applied a Founding Member discount
• Which page you came from — for example, whether your inquiry originated on our cabins, weddings, or COTA page

The free-text message field is optional and open-ended. Please do not enter sensitive information — such as government ID numbers, financial account numbers, or health information — into it. We do not ask for that information and do not need it to respond to you.

Information collected automatically

Like most websites, our hosting provider and analytics tools automatically receive limited technical information when you visit, including your IP address, browser type and version, device type, the pages you viewed, and the site or search engine that referred you.

Information we do not collect

• We do not collect payment card numbers on this website. The website has no payment processor connected as of the effective date below. Any deposit or payment is arranged separately with you after we confirm availability.
• We do not knowingly collect sensitive personal data as defined by Texas law — including racial or ethnic origin, religious belief, health diagnosis, sexual orientation, citizenship or immigration status, genetic or biometric data, or precise geolocation.
• We do not collect information from children. See §12.

§ 3How We Collect It

We collect personal information through:

• Our booking and inquiry forms, which are hosted on our website and by our form provider, Tally
• Our availability calendar, when you select dates and open the reservation form — your selected dates and cabin are carried into the form so you don't have to re-enter them
• Direct correspondence, when you email, call, or text us
• Automatically, through our hosting and analytics providers as described in §2 and §11

§ 4Why We Use Your Information

We use personal information only for the following purposes:

Managing your reservation	Holding your dates, confirming details, preparing your reservation agreement, and coordinating your arrival
Record-keeping	Keeping an accurate record of the quote you were shown, so we can honor the price you saw
Waitlist and Founding Member administration	Notifying you when booking opens and administering membership benefits you purchased
Operating and improving the site	Understanding which pages lead to inquiries so we can improve them; diagnosing technical errors
Legal and tax compliance	Meeting our obligations under Texas Hotel Occupancy Tax rules and other applicable law

We will not use your information for a materially different purpose without telling you first.

We do not currently send marketing emails. If you joined our waitlist or Founding Member program, we will email you about the opening and about the benefits you signed up for. If we later begin sending promotional email, we will include an unsubscribe link in every message, as required by the federal CAN-SPAM Act.

§ 5Service Providers Who Process Your Data

We rely on a small number of third-party services to run this website and respond to inquiries. Each processes personal information on our behalf, under its own privacy policy:

Tally	Our booking, waitlist, and inquiry forms. Form submissions are stored in your Tally account and ours.
Resend	Delivers the notification email that tells our team about your inquiry.
Google	Google Calendar (cabin availability) and Google Analytics via Google Tag Manager (site usage).

We ask these providers to use your information only to provide their service to us. We do not authorize them to sell it or use it for their own advertising purposes.

These providers may store or process data on servers outside Texas, including elsewhere in the United States.

§ 6Disclosure and Sale of Personal Information

We disclose personal information only:

• To the service providers listed in §5, so they can perform their function
• To our own team members and contractors who need it to respond to your inquiry or host your stay
• To professional advisors — such as our accountant or attorney — when necessary and under a duty of confidentiality
• When required by law — in response to a valid subpoena, court order, tax audit, or lawful request from a government authority
• To protect rights and safety — where we reasonably believe disclosure is necessary to prevent fraud, enforce our terms, or protect the safety of guests, staff, or the property
• In a business transfer — if Duplex Dynasty LLC is involved in a merger, acquisition, or sale of assets, personal information may transfer as part of that transaction. We will post notice on this page if that occurs.

§ 7How Long We Keep It

We keep personal information only as long as we have a reason to:

• Inquiries that don't become bookings — up to 24 months, since venue inquiries often precede an event by a year or more, then deleted or anonymized
• Completed stays and events — at least four years, to satisfy Texas tax recordkeeping expectations and to resolve any dispute
• Waitlist and Founding Member records — until you ask to be removed, or until the program concludes
• Analytics data — per the retention period configured in Google Analytics

If you ask us to delete your information, we will do so unless we are required to keep it for tax, accounting, or legal reasons — in which case we will tell you, and keep only what we must.

§ 8How We Protect It

We take reasonable administrative and technical measures to protect personal information, including:

• Serving the entire website over HTTPS encryption
• A Content Security Policy and related security headers that limit what code can run on our pages
• Storing API keys and credentials as encrypted secrets, never in our website's source code
• Limiting access to booking records to team members who need it
• Excluding our internal staff and admin pages from search engine indexing

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and the Texas Attorney General as required by Texas Business & Commerce Code § 521.053.

§ 9Your Privacy Rights Under Texas Law

The Texas Data Privacy and Security Act (TDPSA) gives Texas residents the following rights regarding personal information:

• Know and access — confirm whether we are processing your personal information, and obtain a copy of it
• Correct — have inaccurate personal information corrected
• Delete — have your personal information deleted
• Portability — receive your data in a portable, readily usable format where technically feasible
• Opt out — opt out of the sale of personal information, targeted advertising, and certain profiling. As described in §6, we do not engage in these activities — but you retain the right.
• Appeal — if we decline your request, you may appeal, and we will respond in writing
• Non-discrimination — we will not deny you service, charge you a different price, or provide a lesser experience because you exercised a privacy right

§ 10How to Make a Privacy Request

Email [email protected] with the subject line "Privacy Request" and tell us which right you want to exercise.

To protect your information, we will need to verify your identity before acting. Usually this means confirming your request from the email address you used to contact us. If we cannot verify you, we may decline the request and will explain why.

Our response times:

• We will respond within 45 days, and may extend once by a further 45 days if your request is complex — we will tell you if we need the extension
• If we decline, we will explain why and how to appeal
• We will decide an appeal within 60 days
• If we deny your appeal, you may complain to the Texas Attorney General at texasattorneygeneral.gov

You may use an authorized agent to submit a request on your behalf; we may ask for proof of their authority.

§ 11Cookies and Analytics

We use Google Analytics, loaded through Google Tag Manager, to understand how visitors find and use our site — which pages are viewed, how visitors arrive, and which pages lead to inquiries. This uses cookies and similar technologies.

We also record limited non-identifying events about how the booking calendar is used — for example, that dates were selected — so we can tell whether the booking flow is working.

We do not use advertising or retargeting pixels — there is no Meta Pixel, Google Ads remarketing tag, or similar tracker on this site as of the effective date below.

You can control cookies through your browser settings, and you can opt out of Google Analytics entirely using Google's browser opt-out add-on. Blocking cookies will not prevent you from browsing the site or submitting an inquiry.

Do Not Track and Global Privacy Control. Because we do not sell personal information or serve targeted advertising, there is no such activity for an opt-out signal to stop. If we ever introduce targeted advertising, we will honor a recognized opt-out preference signal and update this section.

§ 12Children's Privacy

Our website and services are intended for adults. Our cabins may only be booked by guests 21 or older, and we do not direct our site to children.

We do not knowingly collect personal information from anyone under 13, consistent with the federal Children's Online Privacy Protection Act (COPPA), and we do not knowingly process the personal data of a known child under 18 for targeted advertising or sale. If you believe a child has provided us personal information, email [email protected] and we will delete it promptly.

Children are of course welcome as guests at events when accompanied by a parent or guardian; this section concerns information collected through the website.

§ 13Visitors From Other States and Countries

We are a single venue in Dale, Texas, serving primarily guests traveling within Texas and the United States. We do not target residents of other countries.

If you contact us from California, Colorado, Virginia, Connecticut, Utah, or another state with a comprehensive privacy law, we will honor the access, correction, deletion, and opt-out rights described in §9 on the same terms, whether or not that law applies to us by its own thresholds.

If you contact us from outside the United States, including the European Economic Area or the United Kingdom, understand that your information will be transferred to and stored in the United States, where privacy laws differ from those in your country. By submitting an inquiry, you consent to that transfer.

§ 14Changes to This Policy

We may update this policy as our practices change — for example, when we add a payment processor before opening. When we do, we will revise the "last updated" date at the bottom of this page.

If we make a material change — such as beginning to sell personal information, adding advertising trackers, or using your information for a substantially new purpose — we will post prominent notice on this page and, where we have your email address and the change affects you, notify you directly.

We encourage you to review this page before submitting an inquiry.
